Fleet management involves numerous responsibilities, including the necessity to monitor insurance policy deadlines and terms. Fleet owners must ensure that every vehicle is properly insured to avoid financial risks associated with lack of insurance or delayed payments. The expiration of a policy, e.g., third-party liability insurance, can lead to serious legal and financial consequences. For a large number of vehicles, software that enables automatic tracking of policies, payment deadlines, and processes related to claims settlement becomes useful. Therefore, meeting the needs of fleet managers, we have equipped the PasCom system with the following record files:

RECORD FILE: Insurance and Policies

Enables registration and monitoring of vehicle insurance policies, including AC, OC, ZK, KR, and NW. The record file allows tracking of policy issue and validity dates, registration of insurance sums, insurance components, values of established deductible amounts, as well as premiums and their due dates. Integration with the contracts record ensures correct handling of group insurance policies. The program also allows automatic allocation of insurance costs, which are accounted for in individual months according to the organizational allocation of each vehicle. As a result, fleet managers have full control over deadlines, premiums, policy terms, and costs related to vehicle insurance.

RECORD FILE: Claims and Compensation

Enables registration and complete settlement of traffic claims. The register is directly linked to policies and allows adding any number of photos, scans, and additional files related to claims, similar to other record files. In connection with the compensation record, it allows the full claims settlement process, including reporting, description, settlement, complete closure, and control of each stage.

The “Claims and Compensation” component in the PasCom Fleet II system also enables detailed tracking of the history of each claim, giving users insight into the settlement process from the moment of notification to final closure. Additionally, this functionality supports report generation, allowing the analysis of costs related to claims, which helps in better budgeting and strategic decision-making.

The following are recorded, among others:

  • Driver’s data
  • Assignment of the organizational structure (MPK) charged with the claim
  • Type of claim
  • Claim settlement method
  • Police involvement in the claim
  • Other participants in the claim (vehicles, witnesses, etc.)
  • Financial settlement (compensation) of the claim
  • Automatically generated claim balance
