Information on the processing of personal data by PasCom

1. GENERAL INFORMATION

This Privacy Policy describes the rules for processing personal data and the use of cookies by PasCom Sp. z o.o. (Service Provider) with its registered office in Gdynia (81-451), al. Zwycięstwa 96/98, registered in the National Court Register under number 0000074625, REGON 192621167, NIP 5862076015, share capital PLN 200,000.00, fully paid.

The Service Provider is also the Controller of your personal data provided voluntarily when using our website, creating an account in the Client Panel, using services, and participating in marketing activities conducted by the Provider (e.g. contests, newsletters).

Your personal data is used for the following purposes:

  • Service provision and support,
  • Technical activation of services,
  • Payments and invoicing,
  • Processing and storage of financial documents in accordance with regulations (e.g. tax, accounting),
  • Informing about service expiration dates and the possibility of extension,
  • Informing about planned technical work and failures,
  • Informing about significant configuration changes,
  • Informing about changes to regulations,
  • Technical support, including responding to user inquiries,
  • Clarifications regarding settlements,
  • Direct business contact if requested by the user,
  • Sending marketing information by e-mail, SMS, telephone, and other communication channels if the user has given consent (e.g. subscribing to a newsletter, checking the appropriate box during registration or in the Client Panel – detailed rules and scope of consent are specified where consent is given).

As a company also providing hosting services, we are a data processor based on a data processing agreement. The detailed rules are specified in the agreement and hosting regulations. This Policy does not cover data related to services, goods, or websites belonging to entities other than the Provider, unless they are indicated cooperating entities.

The website obtains information about users and their behavior in the following ways:

  • Voluntary data entry in forms,
  • Use of Provider’s services,
  • Saving cookies,
  • Technical information in server logs.
2. DETAILED INFORMATION ON DATA PROCESSING

The processing of personal data is carried out in accordance with Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 (GDPR), the Act on the provision of electronic services, and other applicable laws.

The data controller is PasCom Sp. z o.o., al. Zwycięstwa 96/98, 81-451 Gdynia, registered in the National Court Register by the District Court Gdańsk-North in Gdańsk, VIII Commercial Division, under KRS 0000074625, REGON 192621167, and NIP 5862076015. The share capital is PLN 200,000.00, fully paid.

3. PURPOSES, LEGAL BASES AND DATA RETENTION PERIOD
  • Performance of a contract or actions at the request of the data subject (Art. 6(1)(b) GDPR)
  • Accounting and tax settlements (Art. 6(1)(c) GDPR)
  • Defense or pursuit of claims (Art. 6(1)(f) GDPR)
  • Processing based on consent (Art. 6(1)(a) GDPR) – for purposes indicated in the consent

Personal data is processed for the period required to perform the contract, limitation of claims, or until consent is withdrawn.

4. OBLIGATION AND VOLUNTARINESS OF PROVIDING DATA

Providing identification, contact, and billing data is required to conclude and perform the contract. Providing other data is voluntary. Consent to data processing may be withdrawn at any time – this does not affect the lawfulness of processing prior to withdrawal.

6. DATA RECIPIENTS
  • Advertising and marketing companies
  • Legal, accounting, and debt collection services
  • Data centers, subcontractors, service technicians
  • Postal and courier companies
  • Auditors
  • Authorities authorized by law (courts, prosecutors, police, tax and customs administration)

7. DATA PROTECTION

We use various mechanisms to protect personal data:

  • Protection against unauthorized access, loss, and modification of data
  • Secure password storage
  • Transmission encryption (SSL)
  • Backups – protection against data loss
  • Protection against fire, failure, and physical access
  • Training, regulations, password policies
  • Appointment of a Data Protection Officer
8. INFORMATION IN FORMS
  • The website collects data provided voluntarily by the user, including personal data.
  • The website saves information about connection parameters (e.g. IP address). In some cases, the user’s e-mail address may be saved in the form URL.
  • Data from forms is processed in accordance with their function (e.g. handling requests, registering services).

  • The website uses cookies – IT data, in particular text files, stored on the user’s end device.
  • Session cookies – temporary, stored until logging out or closing the browser.
  • Persistent cookies – stored for the time specified in the parameters or until deleted by the user.
  • Types of cookies: necessary, functional, performance, analytical, advertising.
  • Purposes: maintaining login sessions, collecting statistics, remembering settings.
  • Cookie management: the user can configure browser options themselves.

  • Lack of acceptance of some or all cookies may limit the functionality of the website.

Purposes of using cookies:

  • Maintaining login sessions, which allows convenient use of the PasCom Client Panel without the need to log in again when moving to subsequent subpages of the website.
  • Collecting statistics regarding visits to our website and activities performed on it.
  • Remembering the username and password for the Client Panel and the selected language version of the website.
10. CHANGES TO THE PRIVACY POLICY

PasCom Sp. z o.o. reserves the right to make changes to the Privacy Policy if required by law or changes to the website. The date of the last update is at the top of the document.
