Effective fleet management requires constant access to complete knowledge about the condition of vehicles, their usage history, operating costs, and the validity of inspections, reviews, insurance policies, and fuel cards. The lack of such information leads to inefficiency and losses that are difficult to detect. The Resources module in the PasCom Fleet II system organizes and automates key record-keeping and control processes related to the fleet, providing consistent access to data that was previously scattered across various systems or maintained manually—exposing the company to errors and costs.

Considering the necessity of vehicle maintenance, the Resources module is a main component of the PasCom Fleet II system. It is also available as an extension to the PasCom Transport II program, which enables integration with transport processes and significantly improves fleet management. The basic elements of the module include:

Registry: Vehicles and Equipment
The vehicle and equipment registry collects detailed information about all fleet resources, describing their key features. It is the main Administrator panel, providing intuitive access to a wide range of data grouped into clear categories such as:

  • Registration information
  • Vehicle assignments
  • Fuel consumption standards and other technical parameters

Access to detailed data in the PasCom Fleet II system directly translates into operational efficiency and cost optimization in fleet management. It enables quick response to upcoming inspection deadlines or expiring lease agreements, helping to reduce the risk of downtime and administrative penalties. Precise control over assignment history and vehicle ownership makes it easier to plan fleet rotation and adapt it to current organizational needs.

The PasCom Fleet II system also enables advanced fuel consumption monitoring, supporting effective fleet management. Thanks to the fuel consumption monitoring function, irregularities can be quickly detected and operating costs optimized. Administrators can analyze consumption in real time, which significantly influences the making of accurate operational decisions.

The Resources module provides instant access to :

  • Vehicle costs for any period
  • Vehicle costs by cost groups (fuel, repairs, car washes)
  • Information on repairs, service orders, and faults
  • Vehicle mileage and average monthly mileage
  • Insurance and claims

Thanks to this, users can easily assess the profitability of operating individual vehicles by analyzing mileage, service history, and claims.

Registry: Fuel cards and others
Enables management of various types of cards (fuel, service, payment, and others), including the registration of all necessary information :

  • Card number, PIN, expiry dates, and issuer
  • Limits, restrictions, and assignment history

The module supports all types of cards, including fuel, service, and payment cards. It allows assigning them both to specific vehicles and drivers, providing full control over fund circulation. The system automatically monitors card validity, records assignment history, and takes into account the limits and restrictions assigned to each card. This enables effective fuel consumption monitoring and eliminates the risk of unauthorized use of resources.
